Reports to: Manager of Access & System Navigation “ASN”
Probation: 6 month probationary period
Function: Provides administrative support to clinical staff and management at the Main Street location.
Work Environment: Office based.
Driving Requirements: None required.
Lynwood Charlton Centre is Hamilton’s Lead Agency for child and youth mental health, providing transformative care through community, residential, and treatment services. We empower young people (prenatal to age 25) and their families with equitable, accessible programs—from counselling and crisis support to skill-building and advocacy. Through our Lead Agency role, we are responsible for leading and facilitating system reform in Hamilton. To do this, we work collaboratively with other child and youth mental health service providers, other affiliated community partners including our child welfare, health, and school board partners, and parents and youth engaged in our services.

We are currently looking for a Administrative Assistant to work from our Main Street office in Hamilton. Though our preferred candidate is fluent in English and French, mastery of the French language is not required.
JOB DUTIES AND RESPONSIBILITIES
The ASN Administrative Assistant is responsible for providing administrative support primarily to the ASN team by:
Supporting incoming referrals for the team which may include scheduling appointments, triaging referrals, communicating appointments to clients and families, and coordinating schedules to accommodate appointment vacancies or urgent referrals.
Handling incoming and outgoing faxes, photocopying, scanning, printing, and distributing materials.
Maintaining information accurately, up to date and confidentially, including client files, appointments and other documents as directed.
Managing incoming phone calls and triaging for the team as appropriate.
Sending letters via mail/e-mail to client and families, etc.
Under the direction of the Program Manager, scheduling team meetings, preparing agenda, maintaining and distributing minutes.
Accessing Electronic Medical Records to schedule clients, send and view messages.
Inputting, compiling and maintaining statistical data in required spreadsheets and databases and provide quarterly and yearly reports for the MOHLTC and other agencies as required.
Assisting with workload during vacation or absence of other administrative staff including reception coverage.
Supporting the administrative needs of all programs and services where appropriate.
Liaising with various regulatory agencies, as needed.
Contributing in a positive and constructive way to process improvement initiatives.

EXPERIENCE REQUIRED
Minimum 2 years related administrative or medical receptionist experience (preferred).
Experience utilizing databases and digital record keeping
Customer service experience
KNOWLEDGE REQUIRED
Microsoft Office Suite, and Internet browsers
Operation of office tools such as fax machines, copiers, scanners, multi-line telephone
Strong knowledge of privacy legislation and confidentiality in a health care setting
EDUCATION AND TRAINING QUALIFICATIONS
Certificate/College level education in business or medical office administration or equivalent knowledge acquired through relevant experience
